The following Events Policies Apply to all attendees, staff, and visitors of Simental Industries Ltd. & EM Disaster Gaming Events.

CODE OF CONDUCT

·       SI Ltd. & EMDG events are a safe space where everyone can celebrate fandom, learn, and enjoy a range of activities to the fullest, so we do not tolerate mistreatment of any kind. Our policy applies to EVERYONE at the show and all participants are expected to follow the Code of Conduct.

·       Respect and Inclusivity: At SI Ltd. & EMDG, we are all here to share in the love of fandom and treat everyone with kindness and respect.

·       Cosplay Guidelines: To make sure everyone feels safe and comfortable, cosplayers must follow our cosplay guidelines. See details below*

·       Props Policy: If you’re bringing a cool prop to the show, it must be checked by security before you can show it off. See details below*

·       Child Safety: Parents/guardians are responsible for supervising those under the age of 18 and are expected to be aware of our safety guidelines. Also, parents/guardians should make sure little ones are participating in activities that are age-appropriate for them.

·       Personal Boundaries: Please be aware of and respect the personal space of your fellow show-goers, so that everyone can enjoy their time at the event.

·       Reporting Procedures: If you encounter any harassment, misconduct, or safety concerns, please let SI Ltd. & EMDG staff or security know immediately. You can submit an incident report to any event Staff Member. We take all reports very seriously and they’ll be handled discreetly.

·       Consequences for Violations: Violation of the Code of Conduct may result in warnings, removal from the show without a refund, banning from future events, and involvement of law enforcement if necessary.

 

VIOLENCE AND SEXUAL HARASSMENT POLICY

VIOLENCE AND SEXUAL HARASSMENT POLICY Statement:

SI Ltd. & EMDG strongly believes that all attendees, exhibitors and staff should be treated with dignity and respect. SI Ltd. & EMDG’s Zero Tolerance Policy: Acts of violence or sexual harassment will not be tolerated. Any instances of violence or sexual harassment must be reported to the security office or security guard immediately. Show Management will promptly respond to any incident or suggestion of violence or sexual harassment. SI Ltd. & EMDG does not expect employees to become experts in psychology or to physically subdue a threatening individual. Indeed, we specifically discourage attendees, exhibitors and staff from engaging in any physical confrontation with a violent or potentially violent individual. However, we do expect and encourage all attendees, exhibitors and staff to exercise reasonable judgment in identifying potentially dangerous situations. Threats, threatening language, or any other acts of aggressions, violence or sexual harassment made toward or by any attendee/exhibitor/staff will NOT be tolerated. For purposes of this policy, a threat includes but is not limited to any verbal or physical harassment or abuse, attempts at intimidating or instilling fear in others, menacing gestures, flashing of weapons, stalking, or any other hostile, aggressive, injurious and /or destructive actions undertaken for the purpose of domination or intimidation. SI Ltd. & EMDG expressly prohibits any acts or threats of violence or sexual harassment by any attendee, exhibitor or staff against another in or around the convention facilities or elsewhere at any time. All reports of violence or sexual harassment will promptly be investigated by show security. If an investigation confirms that a threat of a violent act, or violence/sexual harassment itself has occurred, SI Ltd. & EMDG will take swift appropriate corrective action with regard to the offending person, up to and including immediate discharge from the show and the facility.

Accessibility

There will be on-site accessibility parking. To plan ahead, go onto the Convention Center website where the event will be hosted to see where their accessibility parking lots are located.

SI Ltd. & EMDG does not provide complimentary wheelchairs or scooters. If you require such services, please check with the Convention Center directly or acquire one independently prior to the show.

If you have any accessibility requirements or restrictions please let the registration desk know.

Attendees who require accessibility services and have a medical companion with them may request a complimentary admission pass for their service person. The medical companion will receive a general admission one-day pass and will be granted access to the same areas of the show as the attendee requiring assistance.

We provide accessible seating, as available. Please be aware that all seating for Panels and Screenings are on a first-come, first-served basis and we cannot guarantee seating for everyone. Attendees who require accessible seating should plan to arrive to a Panel at least 15 minutes prior to the event. Please keep in mind that all our events are very popular and seating may not be available if you wait until the last minute to get to the room. Please read your Program and plan your day accordingly being sure to leave additional time for lines.

Service Animals

Guide dogs and service animals are welcome at our shows, provided they are leashed or under similar control as appropriate.

Attendees with service animals on-site at the event assume complete responsibility for their animal for the duration of their time at the event.

Props

  • All SI Ltd. & EMDG event attendees, exhibitors and staff must comply with all Federal, Provincial/State and local laws and regulations regarding weapons, imitation weapons and props, as well as their usage.
  • Attendees are reminded that while travelling to and from the event, to make sure due care is taken on your behalf to ensure any weapons or props, which could cause public alarm, are stored in bag or in a storage container.
  • All SI Ltd. & EMDG attendees are, under no circumstances, allowed to possess or bring to the convention grounds any actual weapons. Unlawful possession of weapons is an offence and will result in denied admission into the convention or prosecution.
  • All weapons and props must be in plain sight at all times and are subject to mandatory inspections performed by SI LTD. & EMDG staff or security staff. As a general rule, no metal or wooden prop weapons are allowed. Additional rules are outlined below.
  • Any weapon, prop, or item not covered in this policy must be inspected by security staff at the Prop Check Desk; these items will be dealt with on a case by case basis.

1. Prop Check Desk

  • Attendees who come to any SI Ltd. & EMDG event with a prop may be stopped by show security and sent to the Prop Check Desk. At the Prop Check Desk, security will inspect that your prop complies with the below SI Ltd. & EMDG rules and regulations regarding props.
  • If approved, security will issue a sticker to be placed in a visible area of the prop. If show security does NOT see this sticker on your prop while on the show grounds, you will be asked to leave the convention and store your prop or go to the Prop Check Desk.
  • If not approved, attendees have the option of storing their prop in their car, home, hotel room or check it at the desk. You may return at the end of your visit to pick up your prop. Props and weapons left at the Prop Check Desk past show close will be disposed of.

2. Guns and projectile weapons

  • Live firearms including airsoft, modern, hunting or historic, either functioning or de-commissioned, are not permitted at any SI LTD. & EMDG event. Replica firearms made from metal, solid resin/plastic/rubber are not to be brought onto convention grounds. All other firearms/projectile weapons are required to have orange safety tips at all times on convention grounds.
  • No props or weapons capable of firing any projectile or powder charge of any kind. This is for the safety of both yourself and the people around you. Nerf guns and other foam dart guns ARE allowed, but they must not have any foam darts loaded at any time.
  • Prop bows and slingshots are allowed, however, there must be no capacity to fire any object from the bow or slingshot. Arrows and other items used in bows or slingshots are prohibited.
  • SI LTD. & EMDG does not allow ANY laser pointers to be used on the convention grounds. If you have a laser pointer in your prop or weapon, make sure it cannot function by either removing the batteries, or simply not bringing it.
  • If firearm or projectile props or weapons are deemed unacceptable by SI LTD. & EMDG security, attendees will be asked to check it with security while they are on the convention grounds. Refusal to do so will result in being banned from the event without refund and local authorities being contacted.
  • 3. Swords, blades, knives and other melee weapons
  • Metal swords, metal knives and other active martial arts weapons are not allowed to be brought onto any of the convention grounds. Failure to comply will result in being banned from the event without refund and local authorities will be contacted.
  • Blunt, heavy weapons such as baseball bats and hockey sticks are prohibited.
  • Shields or melee weapons (swords, staffs, lightsabers etc) made of foam or other lightweight materials are permitted. Please refrain from swinging weapons around or using them in an intimidating or threatening manner. Props that are used to intentionally hit or otherwise cause harm to attendees, guests or exhibitors will be immediately confiscated and the attendee will be escorted from the premises without refund.

4. Helium, Dry Ice and Pyrotechnics and other chemical special effects

  • Costumes or props that incorporate chemical special effects are prohibited. This includes helium balloons, any type of smoke or other pyrotechnics, or costumes and/or props that expel liquids, gasses or other matter.

5. Prop weight and shape restrictions

  • No items can have sharp points, sharp edges, excessive weight or any other features that could be deemed dangerous to others (E.g. we do not allow metal replica samurai swords, “BB guns/air guns” even if they are not loaded). If the items are not approved during security inspection, they are forbidden on convention grounds. Non-approved items must be securely stored in security Prop Check Desk the attendee’s hotel room, vehicle or home. Failure to comply will result in being escorted off the event premises and banned from the event without refund.
  • Props with an excessive weight are subject to approval by security at the convention entrances or Prop Check Desks. There is no set weight limit, however, if it is deemed to be too heavy or unsafe, it will be requested that the item is checked at the weapons check desk for the duration of the event.
  • Please consider how heavy your props are because you’re going to either be carrying them all day, or be forced to check them in at the Prop Check Desk if they are deemed too heavy to be at the event. The prop check desk is NOT a cloak room; it is storage for items which SI LTD. & EMDG deems unsuitable to be on the convention floor.

6. Important Legal Stuff

  • SI LTD. & EMDG will not be held legally responsible or liable for any misconduct, damages, injuries or death resulting from the actions of any SI LTD. & EMDG attendee. Any inappropriate behavior or misconduct by any attendee will be not be tolerated by SI LTD. & EMDG or local authorities. Please use your best judgment and discretion by refraining from swinging weapons around, or using them in an intimidating or threatening manner.

Security Weapons Policy

·       Only Law Enforcement, Military Security Details, and Executive Protection who have registered for the conference and are actively providing event security and public safety may carry firearms at the event.

Costume Policy

·       SI LTD. & EMDG is an inclusive environment and welcomes cosplayers of all backgrounds and body types. For the avoidance of doubt, the following guidelines must be adhered to when wearing a costume to a SI LTD. & EMDG event.

·       The absence of clothing or a costume is not itself a costume. Nudity is not allowed at any SI LTD. & EMDG events. All costumed attendees are required to have opaque fabric of some type providing complete coverage of breasts, genitals and buttocks. Opaque bodysuits that simulate nudity are not allowed. Anyone wearing a costume that is too revealing in the sole judgment of SI LTD. & EMDG will be asked to leave the Event.

·       Costumes must not contain words or images that are racist, obscene or derogatory. This includes Ahegao, Swastikas or other Nazi imagery, KKK hoods or other paraphernalia etc.

·       Costumes that are in and of themselves deemed to be racist, obscene, or derogatory by the organizers will not be permitted.

·       Costumes or props that incorporate chemical special effects are prohibited. This includes helium balloons, any type of smoke or other pyrotechnics, or costumes that expel liquids, gasses or other matter.

·       SI LTD. & EMDG reserves the right to reject any costume at any time and for any reason.

 

Badging

·       Badges are to be worn visibly for the duration of your visit. If you are coming for multiple days, you must keep your badge on your person for those days.

·       For any questions or special concerns about wearing your badge, visit our Customer Service Desk in the Ticketing Hall at the event. We are able to replace lost or stolen badges only if they are activated and registered to you. Please note a $5 fee will be charged for deactivating and replacing badges.

 

Safety & Incident Reporting

·       Attendees are expected to follow any safety instructions and signage provided at the event.

·       Should there be any safety concerns, please report them immediately to any event staff member or security personnel.

 

Photography Waiver - Permission to Use Photographs

SI LTD. & EMDG will have photographers on site at its events. Attendees may opt out of any photography by informing the photographer and/or avoiding photography stations or activities.

By attending this event, you hereby grant Simental Industries Ltd. & EM Disaster Gaming the absolute right and permission to use your photograph(s) in any manner or media, including, but not limited to, the following purposes:
